Process for taking a property

Viewings: Once you have selected which properties you would like to view, we will provide you with contact details for two of the current tenants and would ask that you to make arrangements directly; please try and give as much notice as possible!

Securing a property: All individuals who will be living in the property full time must fill out an application form and will be named on the tenancy. The tenancy will be an Assured Shorthold Tenancy, for a period of 12 months unless otherwise stated. All tenants will be jointly and severally responsible for all the terms of the tenancy.

On application When applying to rent a property, please be aware of the following permitted fees for all assured shorthold tenancies (AST’s) signed on or after the 1st June 2019.
A refundable Holding Deposit of one week’s rent:
A holding Deposit is a payment made by a tenant to a landlord (or to an agent acting on the landlord’s behalf) to reserve that property.
The Bill requires agents and landlords to refund the Holding Deposit except in circumstances where the tenant (including any guarantor(s)) withdraws, fails a Right to Rent check ,provides false or misleading information which the landlord is reasonably entitled to consider in deciding whether to grant the tenancy because this materially affects their suitability to rent the property or fails to complete the required paperwork including signing of the Tenancy Agreement within the mutually agreed Deadline for Agreement date. Where no Deadline for Agreement date has been made in writing the Bill dictates this date to be defaulted to 15 calendar days after the holding deposit has been paid.
Landlords may ‘repay’ the Holding Deposit by allowing the tenant to deduct the equivalent sum from the first payment of rent or the Tenancy Deposit. If the Holding Deposit is applied to the Tenancy Deposit, under the deposit protection requirements, that money is classed as received on the date the tenancy agreement was signed.
A refundable Tenancy Deposit:
Up to 5 weeks’ rent per tenancy with a Rent under £50,000.00 PA.
Up to 6 weeks’ rent per tenancy with a Rent of or over £50,000.00 PA.
A Tenancy Deposit is money held by the landlord (or agent acting on the landlord’s behalf) as security during the period of the tenancy and reserved for any damages or defaults by the tenant. All Tenancy Deposits are held in accordance with the Deposit protection scheme.
Charging to vary a tenancy: (Tenant’s Request)
When a tenant has requested it, landlords and agents can charge to vary, assign or replace a tenancy. Such fees are capped at £50 unless the landlord can demonstrate that greater costs were incurred.
Change of Sharer (Tenant’s Request)
£50 (no VAT) to cover the costs associated with processing a replacement tenant application, Right to rent checks, deposit registrations and preparation and execution of new legal documents to include the Tenancy Agreement
Lost/replacement Keys
Tenants are liable for the actual cost of replacing any lost key(s) or other security device(s).
If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord any other persons requiring keys will be charged to the tenant.

We also need to check your ID documents in person and take copies (Passport OR Driving Licence plus Birth Certificate – these checks are required under the Governments ‘Right to Rent’ legislation.) For non UK Residents we will need to see relevant Visa/ Biometric Residence Permit.

A Guarantor is required for all student Tenants which guarantees rent payments for the duration of your tenancy. Guarantor forms will be sent to your home address and we must receive these back, signed by your Guarantor; your Guarantor must be UK based and in full-time employment. You will not be allowed to move into the property until all forms are returned. If a UK Guarantor cannot be provided other options would be to pay 12 months’ rent in advance at the start of the tenancy or to use a Guarantor Service (please ask for details)

Rent: The rent is payable by bank standing order mandate on a quarterly basis, the first payment is due on the start date of your tenancy i.e.: 1st July 2019, thereafter rent payments are due  1st of October 2019, 1st January 2020 and 1st April 2020.

Signing the Tenancy: We will issue you with a copy of the tenancy agreement at the enquiry/application stage and prepare a tenancy agreement for you all to sign in the office once the Guarantor Forms have been received back.

Moving In: If you wish to move in on the first day of your tenancy, one set of keys will be available to collect from our office, (your group will be provided with one set of keys per person – all additional sets of keys will be left at the property) together with a set of keys, the first tenant/s to collect keys/move-in will be provided with a copy of the inventory; you have 14 days to make amendments to the inventory, additional comments etc.  Please remember that tenancies do not start until 3pm on the tenancy start date.

Information on Utility Companies

Rent is exclusive of other outgoings such as water, sewage, electricity, gas and telephone, unless otherwise advertised. We recommend that you read the meters (gas, electric & water where applicable) and you are required to contact the Utility Providers and set up accounts in your names as soon as possible. You will be given a ‘Moving in Letter’ which will detail the current utility providers, also the gas & electric meter readings taken on the tenancy start date, this letter will also detail other useful information about the property.

Council Tax
We do notify the Council Office of a charge of occupiers, but as full time students you can apply for an exemption, this can be done online and we will give you further details of this when you move in. Please note it is the student’s responsibility to return the exemption form to the council..

Moving out and Deposits
It is very important that the flats and houses are handed back to us at the end of the tenancy in a clean and undamaged state. Cleaning guidelines will be sent out to all tenants in advance of moving out to make sure that we are all clear on what needs to be cleaned and to what standard. If the property has been left clean and maintenance free your deposit will be returned to you quicker and without deductions.
